1. Understand Basmati Rice Varieties & Specifications

Before issuing a formal Purchase Order (PO) or requesting a Proforma Invoice (PI), international buyers must clearly specify the exact variety and hydrothermal processing type required. Confusing traditional raw basmati with steam or parboiled varieties often leads to commercial disputes over cooking texture and breakage rates.

  • 1121 Basmati Rice: World standard for extra-long grain (8.35mm+ uncooked length). Available in Steam, White Sella (Parboiled), and Golden Sella.
  • 1509 Basmati Rice: Economical long-grain alternative (8.30mm+), slightly softer cooking texture, popular for fast-food catering and institutional supply.
  • Traditional Basmati: Peak aromatic concentration (7.20mm to 7.40mm), aged minimum 12 to 24 months for gourmet culinary dining.
  • Key Metric Parameters: Always specify Average Grain Length (AGL), maximum moisture threshold (standard 12.0% to 12.5%), and maximum allowable broken percentage (typically under 2.0% for premium grades).

2. Verify Exporter Credentials & APEDA Certification

In India, the export of basmati rice is strictly governed by the Agricultural and Processed Food Products Export Development Authority (APEDA) under the Ministry of Commerce & Industry. Never transact with an intermediary who cannot furnish:

  • Valid DGFT IEC (Import Export Code): Government license authorizing mercantile exports. (Vishnu Balaji Global IEC: DYDPS1733L).
  • APEDA Registration-cum-Membership Certificate (RCMC): Mandatory certification ensuring the exporter complies with basmati grain purity standards (Vishnu Balaji Global RCMC: RCMC/APEDA/33312/2026-2027).
  • GSTIN & Udyam Registrations: Verifying corporate tax standing and enterprise legitimacy in India.

3. Negotiate Incoterms & Commercial Payment Terms

International rice transactions typically operate on standardized terms defined by the International Chamber of Commerce (Incoterms 2020):

  • FOB (Free on Board): Exporter bears all transport, Sortex milling, and customs clearance charges up to vessel loading at Mundra or Nhava Sheva. Importer arranges ocean freight.
  • CIF (Cost, Insurance & Freight): Exporter arranges ocean container carriage and marine insurance up to the buyer's port of discharge (e.g., Jebel Ali, Rotterdam, London Gateway).
  • Payment Terms: The most secure international payment instrument is an Irrevocable Documentary Letter of Credit (L/C at Sight) confirmed by a recognized international prime bank. Alternatively, structured Telegraphic Transfer (30% advance deposit with 70% against scanned copies of the original Shipped on Board Bill of Lading) is widely employed for expedited sailings.

4. Pre-Shipment Inspection & Quality Guarantees

To eliminate receiving discrepancies, standard export contracts should specify independent third-party survey rights:

  • Nominated Surveyors: Contractually mandate SGS, Intertek, or Cotecna to inspect cargo at the CFS (Container Freight Station) prior to container stuffing.
  • Surveyor Scope: Physical grain length verification, moisture oven testing, broken grain separation, random carton/bag weighing, and container hygiene inspection.
  • Container Sealing: Independent surveyor tamper-evident seals must be affixed to container door latches and documented on the final Bill of Lading.

5. The Required Export Documentation Package

For smooth import customs clearance at the destination port, ensure that your Indian exporter provides a complete, discrepancy-free document package:

Document Name Issuing Authority Purpose
Commercial Invoice Exporter Legal valuation and customs duty assessment
Packing List (PL) Exporter Container seal numbers, gross and net weights
